Automated Employee Attendance Tracking with SAP SuccessFactors

In just one month, ACBaltica supported a healthcare company in Cyprus by delivering an automated employee attendance tracking solution integrated with SAP SuccessFactors Employee Central.


The customer operates hospital facilities with turnstile security systems at building entrances. To accurately and transparently record employee working time, they needed to connect physical access data to their central HR system. ACBaltica joined the project as a subcontractor, focusing on system integration and SAP SuccessFactors expertise.

Customer

The customer is a healthcare company in Cyprus operating hospital facilities with controlled physical access. To maintain security and operational functionality, employee entry and exit are managed through turnstile systems installed at the entrances to the company buildings.

Accurate attendance tracking is critical in the healthcare environment, where work schedules, shifts, and absences should be strictly monitored. This made reliable integration between physical access systems and the central HR platform a key requirement.

Challenge

This project had a few challenges that had to be addressed:

1. Linking turnstile information with HR data

The customer needed to integrate and synchronize the employee entry/exit data with SAP SuccessFactors Employee Central to monitor actual attendance and compare it to planned working schedules.

2. Separate attendance tracking module

It was important that all entry and exit information be tracked in a dedicated module, separate from raw access data, allowing clear monitoring and reporting of working time.

3. Schedule validation

The solution needed to compare actual entry and exit times with planned working schedules stored in SuccessFactors (e.g., comparing actual arrival time against a schedule) and to detect deviations.

4. Short delivery times

The full solution had to be designed, implemented, and delivered within one month.

Solution

ACBaltica delivered the solution as a subcontractor, integrating the turnstile system with SAP SuccessFactors Employee Central.

The implementation included:

  • Integration of the turnstile server with SAP SuccessFactors using SAP Cloud Platform Integration solution(CPI)

  • Secure data transfer via an SFTP server

  • Automatic transfer of employee entry and exit data into SAP SuccessFactors

  • Comparison of actual attendance times with planned working schedules stored in Employee Central

  • Generation of signals indicating whether attendance complies with the employee’s schedule

This approach transformed physical access events into structured, HR-relevant attendance data.

Implementation Process

The project was delivered over a one-month period.

The work included:

  • Analysis of turnstile data structure and SuccessFactors employee data

  • Design of secure data exchange via SAP CPI 

  • Development of integration flows between the turnstile system (SFTP server) and SAP SuccessFactors

  • Validation of time and date data against employee schedules

  • End-to-end testing of attendance recording and signal generation
